How do I pass the functionality test?

• Understand that the Functionality test in a tender is essentially your opportunity to showcase your products and/or services. Responding to tenders is a concentrated marketing chance, allowing you to target a specific buyer who urgently needs what you offer. Make sure to maximize this chance!
• Points are awarded during the Functionality test. Before you begin crafting your tender response, review the Functionality criteria to ensure you can earn enough points to advance to the next evaluation round. It’s unwise to invest time and resources into a tender response if you’re unlikely to pass the Functionality test.
• Only respond to tenders that align with your business expertise. Bidding on projects outside your experience will likely lead to failure.
• Use the exact terminology present in the tender document when drafting your response. This approach assists the Evaluation Committee in easily locating the information they need.
• Maintain the same format as the tender document in your Functionality response. If the Functionality section is presented in a table, replicate that format in your reply.
• Ensure that your items under Functionality follow the same order as those in the tender document. Avoid rearranging them, as this will help the Evaluation Committee find the information they seek more easily.
• Avoid overselling your business. While it might seem counterintuitive, many enterprises offer a broad range of goods and/or services. Evaluation Committees are interested only in what they want to procure. Providing excessive information at inappropriate times can hinder their ability to find the right details.
• Be visual! In today’s world, visuals are crucial. With screens everywhere—phones, computers, and even cars—ensure your tender response includes relevant images. Incorporate photos of your products and your team, and if applicable, showcase your machinery. Remember, these images should enhance the value of your response.
• Be truthful in your Functionality response. A tender is a binding agreement, and if you win but cannot fulfill the contract, you may face legal challenges.
• Lastly, keep in mind that your tender response will be reviewed by someone just like you. Also, be aware that your submission isn’t the only one for that tender. Make it easy for the Evaluation Committee to find and evaluate your Functionality items.
